Privacy Statement

We operate Cell Signal Help from Ontario, Canada. This statement explains what personal information the service handles, why, where it lives, and what you can ask us to do with it. It is written to meet Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA), which applies to us as a commercial organisation in Ontario.

1.What we collect

We use PostHog to understand how the product is used. It records which pages and features were used and when, and it records a replay of the session: which buttons were pressed, which panels were opened, where the app was slow and where it lost you.

The replay is masked. Nothing you type is recorded, and the body of every question and answer is hidden from it, along with the photos you attach. What we watch back is how the product behaved, not what the job was about. Once you sign in, usage is tied to your account identifier so that we can see one person hitting the same problem twice; it is never tied to your email address there.

We do not run advertising on this site, and we do not sell personal information or share it for advertising. Your light or dark theme choice is kept in your browser, not on our servers.

2.What goes into a question

Treat the question box as a work record. Describe the equipment, the readings and the site conditions, and avoid entering personal information about a customer, a colleague or a member of the public unless the job genuinely requires it.

Questions and answers are stored against your account so your history is there next time, and so an administrator can trace an answer back to the passages that produced it when something looks wrong.

3.Photos and dictation

You can attach a photo to a question, and you can dictate instead of typing. Both are optional, and both are worth knowing about in detail.

Photos are stored in Canada, encrypted, reachable only through a signed-in request, and deleted after 90 days. The answer and its citations are kept; the photo is evidence rather than the record. Your phone’s location data and timestamp are stripped in your browser before the photo is uploaded, so we never receive them.

Only you and an administrator reviewing that answer can open a photo you attached. There is no public link to one, and one installer cannot open another’s. Photograph the equipment rather than people, and get the site owner’s agreement before photographing their property.

Dictation is the one feature that leaves Canada. It uses the speech recognition built into your browser, which is Google’s on Chrome and Android and Apple’s on Safari, so the audio is processed by them under their terms and outside Canada. We never receive or store the audio: only the text it produces, once you send the question. If that matters for a particular job, type instead.

4.Where it is stored and processed

Application data, which means your conversations, feedback, the approved source documents and the search index built from them, is stored and processed in Canada, in Amazon Web Services’ Canada (Central) region. The AI models that produce embeddings and answers run in that same Canadian region through Amazon Bedrock.

Two parts of the service are not exclusively Canadian, and we would rather say so plainly:

  • Authentication. Sign-in is handled by Clerk, a provider based in the United States, so your name, email address and sign-in activity are processed outside Canada and are subject to the laws of that country.
  • Edge delivery. Cloudflare sits in front of the service for DNS, TLS and caching of public pages, and handles traffic at the network location nearest to you, which is usually in Canada but not guaranteed to be.

5.AI processing

Answers are generated from passages retrieved out of the approved corpus, and every technical answer shows the source behind it. Your questions are sent to Amazon Bedrock in the Canadian region to produce that answer.

Amazon does not use content submitted through Bedrock to train its models, and neither do we: we do not train or fine-tune any model on your questions. Administrators do read questions and answers when reviewing answer quality, particularly where feedback flags a problem.

No decision about you is made by automated means. The service advises on equipment, and a person decides whether your firm gets access.

Each is bound to handle the information only to provide its service to us. We may also disclose information where the law requires it, or to establish or defend a legal claim.

7.How long we keep it

  • Conversations: until you delete them, or until your account is closed and removed.
  • Feedback: kept after the conversation it refers to is gone, because the point of it is to fix the answer, not to describe the thread.
  • Access requests: kept for the beta so we know who asked and what was decided, then deleted.
  • Photos attached to questions: deleted after 90 days. The answer and its citations are kept.
  • Rate-limit records, including the hashed IP: deleted within a day.
  • Account records held by Clerk: for as long as the account exists.

8.Your rights

Under PIPEDA you can ask us to:

  • Tell you what personal information we hold about you, and give you a copy.
  • Correct anything that is wrong or out of date.
  • Delete your conversations, or close your account and remove it.
  • Withdraw your consent, though that generally means we can no longer provide the service to you.

Email [email protected] and we will respond within 30 days. We may need to confirm your identity first.

If you are not satisfied with how we have handled a privacy concern, you can complain to the Office of the Privacy Commissioner of Canada at priv.gc.ca.

9.Security

Access to the console requires a provisioned account. Data is encrypted in transit, the database is not reachable from the public internet, and the approved source documents are served only through an authenticated route rather than from a public bucket. Administrative functions, including reading feedback and runs, are restricted to named administrators.

No system is perfectly secure. If a breach creates a real risk of significant harm, we will notify affected people and the Privacy Commissioner as PIPEDA requires.

10.Cookies

The service uses cookies set by Clerk to keep you signed in, and Cloudflare may set cookies needed for security, traffic management and the bot check on the access-request form. These are necessary for the service to work. There are no advertising or tracking cookies, and Turnstile is used specifically because it verifies a submission without profiling the visitor.

11.Children

The service is for people working in the trade and is not directed at anyone under 18. We do not knowingly collect information from children.

12.Changes

We will update this statement as the service changes. The date at the top shows the current version, and we will tell account holders about material changes by email.
